How I Set Up My AI
An assistant that knows your business, because it works from your own files. If you can talk, you can do this.
- ✓Set up an assistant that can open your own files and describe your business back to you
- ✓Teach it to write more like you, and make your corrections stick
- ✓Give it the computer chores you still do yourself each week
- ✓Check what it tells you, and know what to say when it gets stuck
Recorded course · go at your own pace · lifetime access

Stop re-explaining your business
If your AI lives in a chat window, you probably start most conversations by telling it who you are. And last month’s good thinking is buried somewhere in a long list of old chats.
The change is one habit. Give your assistant the folder where your business already lives, and let it work from there.
Everything in the course builds on that habit:
- ✓Anything you’d otherwise re-explain in every new conversation goes in the folder, once.
- ✓Your files don’t have to be tidy first. Sorting them out is one of the jobs it helps with.
- ✓When something goes wrong, you ask your assistant first. It’s sitting right there, and it answers in seconds.
- ✓You talk more than you type, and you never write code.
- ✓Most lessons in Module 2 are written so your assistant can read them and plan your next steps with you.
We’re not learning software. We’re assembling what an assistant would need to know if you hired one.
And some work stays yours on purpose: deciding what’s worth making, talking with your clients, and reading anything before it goes out under your name.
What you’ll be able to do, step by step
You do the first module once, and you’re set up. The second you dip into for years.
Each module has a lesson document with every prompt written out, so you can copy them straight across, or hand the whole document to your AI.
- Module 1 · Getting it running
An assistant that can open your files and describe your business back to you
Install the Claude or ChatGPT desktop app, choose which folders it can see, and make sure those files are really on your computer. If your work lives in Google Drive, one switch handles the file step for you.
Then make a project from your folder, choose two key settings, and run a 60-second check that proves your setup works.
- Module 1 · Privacy, your browser, and tech support
Choose what it sees on purpose, and let it help when you’re stuck
A short lesson on privacy comes before you choose any folders: what protects you, what doesn’t, and a two-minute change to your training setting.
You’ll connect your assistant to Chrome, where you’re already signed in to your own sites. And when you’re stuck, you’ll know to show your assistant a screenshot and say what you were doing.
Module 1 is free to watch for 72 hours: start the free Module 1 replay.
- Module 2 · Start from the mess you already have
A plan for your next steps, written by your own assistant
Hand the whole module to your assistant, and it comes back with what to do next in your situation, one step at a time.
Then rescue anything worth keeping from your old chats into files, and leave the rest behind.
- Module 2 · Your voice and your rules
An assistant that writes more like you, and remembers what you’ve told it
Build a writing style sheet from the pieces that sound most like you, then check that your assistant is following the sheet. One paste in your settings makes it more willing to push back on your ideas, with kindness.
Your rules file is the second place it remembers you. A correction goes there once, so you’re not repeating yourself next week.
- Module 2 · Talk, ask and name
Ask for help the way you’d ask a person
Talk instead of typing, and say what you want even when you can’t describe the steps. Your assistant interviews you for the rest.
Give your documents short names, so you never have to describe them twice.
- Module 2 · Your body of work
Find what you’ve already made, in seconds
Gather your posts, courses, talks and recordings into one place, and have your assistant index all of them, audio and video included.
Then ask, “What do I already have on grief?” (or whatever you teach), and get your own forgotten work back.
- Module 2 · Work that runs without you
Hand over the chores that come back every week
Set up a first job that runs while you sleep, prove the job runs, and read the results in a short “good morning” briefing.
Good first jobs are small checks, like whether your sales page price still matches your checkout.
Your assistant can also work on the sites you’re already signed in to, like your course platform or email tool, even when they have no export button.
- Module 2 · Check its work
Trust what it tells you, because you know how to check
Learn two short requests that catch a job claiming it’s done when it isn’t.
And when your assistant says “come back later,” you’ll know what to do, and the one money mistake to avoid.
The course ends with a walk through one ordinary working day of mine, friction included, and the whole setup as a one-page checklist.
Two ideas you’ll keep using
If you’d like a feel for how I think about AI first, my AI library is free to read: www.georgekao.com/ai
EASE, before you hand anything over
- 1Eliminate: does this need doing at all?
- 2Automate: can it run without me?
- 3Share: could another person do this work?
- 4Enjoy: if the work is still mine, how do I bring something good to the task?
Elimination is the hardest step to do on your own list, so you can hand that question to your assistant too.
The two places it remembers you
- 1Your settings, for what’s true whatever you’re working on (you update these about twice a year)
- 2Your rules file, for whatever just annoyed you (your assistant updates the file whenever you ask)
A correction said only in the chat fixes that chat and nothing beyond. Put the correction in one of these two places, and your assistant remembers next week too.

What students say
When students talk about this course, these are some of the moments they mention:
- ✓Seeing what they could hand over, like asking their assistant what their clients need, straight from recorded client calls.
- ✓Connecting their assistant to Chrome, so it can do research and pull things in from social media.
- ✓Handing the whole module to their AI and letting it work out their next steps.
- ✓Learning which of the app’s “doors” to use, after treating AI like a search engine.
- ✓Seeing how one ordinary working day runs with an assistant, which one student called a completely new way of thinking about any task.
The quotes below come from members of my AI training group, where I first taught these lessons.
“For me, using AI is like having a colleague or intern in my office who can carry out the business tasks I don’t like or am not good at, allowing me to focus on the creative ones that I do enjoy. I learned that you don’t have to be a ‘techie’ to use these tools. I’m 73 years old with a background in teaching English… I’ve never felt more creative and productive.”
“This course has enabled me to be more than just a ‘user of ChatGPT’. The greatest benefit I have gained is being able to create a coherent strategy of how to best use AI in my business… This has helped to decrease the level of overwhelm I experience from the presence and rapid changes happening with AI.”
“So I can download my transcripts from recorded Zooms with clients and then get info about what they need?! 🤯”
“George Kao’s AI course is incredibly helpful, approachable, and human. … I feel more confident, curious, and ready to keep integrating AI in meaningful ways.”
“Honestly, I don’t have the bandwidth to keep up with all the nonstop changes happening in AI, let alone figure out what’s actually useful. … It teaches a more thoughtful, creative, and integrity-based way of working with AI.”

I don’t know how to code, either
I built my AI setup without knowing how to code, and I use it every day. Each morning I say “good morning,” and it tells me what happened while I slept.
Course covers used to take me an evening each. Now I ask for a few candidates and point at one.
Some work stays mine on purpose. I once let AI write my replies to students, they objected, and I went straight back to writing them myself.
A good fit if…
- ✓You’re a coach, healer, teacher, consultant or creator, running your business mostly on your own
- ✓You’ve used AI in a chat window, and suspect it could do much more for you
- ✓You have years of material, like writings, recordings and courses, that even you can’t find
- ✓You still do some computer chores by hand every week
- ✓You don’t know how to code, and you’d like to keep it that way
Probably not if…
- ×You want to learn to code. This course walks past that door on purpose
- ×You’d rather not pay for an AI plan, at least while you set things up
- ×You want someone to do the setup for you. In this course you do the setup yourself, with your assistant’s help
- ×You want personal coaching or feedback. This course is recorded, and you work through it at your own pace
By the end, you’ll…
- 1Have an assistant that opens your own files and answers questions about your business.
- 2Have chosen what it can see, with your privacy settings decided on purpose.
- 3Have a writing style sheet and a rules file, so it writes more like you and your corrections stick.
- 4Have handed over your first chores, including one job that runs while you sleep.
- 5Know how to check what it tells you, and what to say when it gets stuck.

Before you enroll
“I’m not technical. Is this for me?”
Yes. You won’t write code, and most of the work happens by talking with your assistant.
And when a step goes wrong, the first habit you learn is asking your assistant, with a screenshot of what you see.
“Claude or ChatGPT?”
Either works. I demonstrate in Claude because that’s what I use every day, and where ChatGPT does the same job under a different name, the lesson notes say so.
You don’t need both.
“What else will I need?”
A paid plan with Claude or ChatGPT. Plan on about a hundred dollars a month to begin with, because the entry plan makes you wait as soon as you work across a whole folder of your material.
You don’t have to keep paying that forever. If you mainly want help organizing your body of work and a few big projects, a month or two may be enough.
You’ll also want the Chrome browser, which your assistant uses to work on websites for you.
“Mac or Windows?”
I demonstrate on a Mac. On Windows a few steps look different, like the screenshot keys, and your assistant can walk you through each one.
“How much time does it take?”
The videos add up to about two hours, roughly one for each module. Most of Module 2 is written, so your assistant can read the lessons with you.
One setup step, getting your files onto your computer, can run for hours in the background, so start that step early. If your files are in Google Drive, one switch skips the step.
After that, go at whatever pace fits your life, one lesson at a time.
“Is it safe to give it my files?”
You decide which folders it can see, and you can start narrow. The privacy lesson comes before you choose any folders, so you choose with your eyes open.
That lesson shows you the training setting worth turning off, and the everyday precautions that protect you most, like two-factor login.
“Will it sound like AI?”
Out of the box, it writes well and generically. Module 2 has you build a writing style sheet from the pieces that sound most like you, plus a three-pass edit for drafts that still read like AI.
You still read every draft before it goes anywhere.
“Will it be out of date soon?”
Some details will change, because these apps change often. The written steps in each lesson take priority over the video, and I update the lessons now and then.
“I already use AI every day. Will this help?”
Then the question is whether you use it in a chat window or on your computer. If your AI can’t open your files, work in your browser, or run a job while you sleep, this course closes that gap.
If it already can, a shortcut near the start of Module 1 takes you straight to the next step.
“Can’t AI just set itself up?”
Partly, and the course leans on your assistant’s help. Your assistant is your tech support, and in Module 2 it reads the lessons and plans your next steps with you.
What it can’t decide for you is which folders it should see, what goes in your rules, and which work stays yours. Those choices are what this course helps you make.
“Can I try it before I buy?”
Yes. Module 1 is free to watch for 72 hours after you sign up with your email: start the free replay.
If you buy the course, Module 1 comes with it, along with all the others, and you keep them for life.
“Will I get personal feedback?”
The course is recorded, and it doesn’t include personal feedback.
You can bring your questions to my free monthly Q&A call, and your own assistant is there whenever you’re working.
If you’d like private help, I offer one-hour coaching sessions by inquiry.
